What working with MBS really looks like

It can be hard for people to conceptualize what we do here at MBS and I get it…especially if you’ve never worked with a COO before or with a business like ours! 

So I’m here to open the doors and give you a virtual tour of what we do here at MBS.

What better way to do this than a case study?

The first client I’m going to talk about (we’ll be calling her Client X for privacy purposes) has been a 1:1 client of mine. She’s in a 6 month fractional COO container working directly with me.

The overarching goal of this service is to strategically work together on setting your business up to scale successfully and sustainably.

The Background

When I first came on to Client X’s team, she had one-full time employee and several contractors and her team culture was great. Everyone loved her and truly bought into the vision and mission of her business which is a hard thing to achieve as a business owner and meant we had an amazing starting point. 

However, despite the amazing culture, there were issues within the team.  

Her firm had been growing so fast, that her team was struggling to keep up because their offers were evolving, growing, and changing just as the business did. This was causing them to feel overwhelmed, burnt out, and stressed which is why she reached out to MBS. She knew how bad a stressed and burnt-out team was for her business and the well-being of her team and she was on a mission to fix this. 

So that’s what we’ve set out to do!

There were three main areas that initially needed to be sorted:

  1. There weren’t any documented processes, they lived in people’s heads (a common occurrence of a business that has experienced rapid growth)
  2. The tech tools had been set up by a few different systems strategists so they were haphazardly pieced together and not functioning optimally. 
  3. The team members were straddling different roles when they didn’t need to which was contributing to the stress they were all feeling. 

So my first step (as it always is) was to evaluate everything; her tech, her team, and her processes. 

To evaluate her team we looked at the strengths, weaknesses, and gaps. This led to us to reposition people within the business so they were doing jobs more suited to them and their skill set (or in other words, we got them doing what they both liked and were good at doing). Then we started actively hiring for roles that hadn’t previously been identified as necessary to fill the gaps!

Then we moved on to revamping the tech tools to fit the way her business runs and not just using them how they should be used (which is something I will always make sure we do). 

We also established and identified all the processes that were working and need to be documented and our next steps will be to officially document them in an accessible way that makes sense for her and for her team.

The Next Steps

All of the above has happened since August so we still have several months left in the container and the goal for the rest of our time together will be to set up foundations for future success. 

This means we’ll be focusing on strategic planning for Q1 over the next few months as well as making sure that everyone feels equipped for tax season and has all the support and systems in place to get them through. (She runs an accounting firm so as you can imagine, tax season is a very busy time!) 

Although we are only at the beginning of our journey together, we’ve already seen some impressive results and it’s safe to say from this review that things have been going well and that’s not just my bias talking!

‘Rachel brought order, accountability, and clarity to my business in less than 60 days. But it’s tailored to a specific type of client in a certain stage of business. You’re ready to work with us in this capacity if…

  1. You’re in the stage where you’ve been growing and are now beginning to think about scaling.  When we work together in this capacity, the focus is on getting the right people in the right place, establishing or changing your culture to match your overall missions, and making sure your offer suite is profitable and enjoyable to execute. Of course, we also get your systems, tech, and processes in order. All of this is exactly what you need to be doing if you’re moving out of the growing stage. 
  2. You have a VA/OBM already on your team. This is a requirement for the people I work with because I don’t act in this capacity when I join your team. I’m not going to be writing meeting notes or checking your inbox! Hands-on work for me looks like writing job descriptions, carrying out the process and tech audits, and strategically planning for the future. If you don’t have an instigator or some form of implementation support in your business, you need to be willing to make the first project we work on, hiring this support person!
  3. Your monthly revenue needs to be sitting around the 15k mark to comfortably afford this service. This is because you need to be able to afford us and all of the support you’ll need to implement the strategies we discuss. I don’t want you to hire us at the expense of sacrificing a key team in your business. 
  4. You’re ready and open to working with a strategic thought partner and respect that I don’t take orders from you and you don’t have to take orders from me. It’s a collaborative process.
